Answer first
For private label power tools, the biggest trust killer is sample OK, bulk different. A good sample only proves a plant can make one unit. Bulk risk is controlled by a written spec lock, QC plan, and claim boundary before deposit — not by chasing the lowest sample price. KaimaLabel treats sampling as a project step: freeze what matters, inspect what can fail in mass production, and keep re-orders on the same BOM.
Why samples fail to predict bulk
| Risk | What happens | What to lock |
|---|---|---|
| Motor / gear batch | Noise, heat, life drop | Motor model, brush/brushless, gear material notes |
| Battery / cells | Capacity fade, safety flags | Cell brand tier or equivalent class, pack config |
| Plastics / color | Shade drift, brittle housing | Pantone / masterbatch note, material grade |
| Packaging | Carton crush, wrong language insert | Artwork freeze, barcode, drop test if needed |
| Accessories | Missing bits, weak chargers | BOM list with part codes |
QC checklist before first PO (quotable)
- Golden sample — signed or photo-archived reference unit (or written exception list).
- Critical-to-quality list — safety, function, appearance A/B/C defects.
- Inspection method — factory self-check + optional third-party (who pays, when).
- AQL / sampling level — agreed before mass production.
- Change control — no silent BOM swap; change requires written OK.
- Claim window — how many days after arrival to report; evidence required (video, photos, lot no.).
- Remedy options — rework, replace, credit — decided in principle before ship.
KaimaLabel coordinates this checklist with the plant; legal contracts remain between the commercial parties you choose.
Sample policy (how we work)
- Sample scope and paid vs free rules are written per SKU after brief.
- Lead time is usually measured in weeks, quoted in writing — not a vague “fast.”
- Soft samples (looks) and engineering samples (function) are not the same step.
- Brand packaging freeze comes after function sign-off when possible.
What buyers should send for a QC-ready brief
- Target markets and channel (distributor / project / online)
- Must-pass function tests (e.g. runtime, no-load current limits if known)
- Appearance priorities (color match, logo location)
- Whether third-party inspection is required
- Arrival claim process your warehouse can actually run
FAQ
Can you guarantee zero defects?
No honest partner can. We reduce risk with inspection plans and BOM lock — not slogans.
Who pays for third-party inspection?
Usually the buyer; sometimes shared by agreement. Stated before booking.
What if bulk fails inspection?
Stop-ship / rework / sort options depend on defect type and contract. Process is discussed before deposit when possible.
Does KaimaLabel invent lab certificates?
No. Cert status is ready / in progress / can start — see USA PL & certification path.
